Information we collect.
This policy explains how Timber Brands LLC (“Timber Brands,” “we,” “us,” or “our”) handles personal information connected with timberbrandsusa.com, purchases, custom projects, and related communications.
We collect information you provide, information generated when you use our website, and information from providers involved in your transaction or interaction.
- Contact & account details
- Your name, email address, phone number, billing and delivery addresses, company or organization, account credentials, and saved preferences.
- Orders & payments
- Products, quantities, customization choices, order history, transaction references, payment status, delivery information, and records relating to returns or warranty requests. Payment providers also process the information needed for your selected payment method.
- Artwork & communications
- Text, names, logos, photographs, design files, messages, attachments, reviews, and other information you choose to submit.
- Website activity
- IP address, browser and device information, referring pages, pages visited, shopping activity, cookie identifiers, and interactions with website features or marketing links.
- Information from providers
- Payment confirmations, shipping and delivery updates, fraud or security signals, and measurement information from providers supporting our website and campaigns.
You may choose not to provide optional information. We may be unable to complete an order, prepare a requested design, or respond to a request without the information needed for that purpose.
Share only what is needed.
Please do not send passwords, complete payment card details, government identification numbers, or unrelated sensitive information through email, artwork uploads, or contact forms.
How we use information.
- Orders and service: prepare quotes, process purchases, produce custom products, arrange delivery, and handle support, returns, and warranty requests.
- Accounts and communications: maintain accounts and preferences, answer questions, and send transaction or service updates.
- Website operations: run shopping and customization features, diagnose problems, and understand how visitors use the website.
- Marketing: send promotional messages when you opt in and measure or improve campaigns, subject to your choices and applicable law.
- Protection and administration: help prevent fraud, protect accounts and systems, maintain business records, comply with legal obligations, and address disputes.
Legal bases where required
When applicable data protection law requires a legal basis, we rely on performing a contract or taking steps you request before a contract for orders and quotes; legal obligations for required records and compliance; legitimate interests for proportionate security, administration, support, and service improvement; and consent where required for marketing or optional tracking.
Where we rely on legitimate interests, we consider your rights and reasonable expectations. Where we rely on consent, you can withdraw it without affecting the lawfulness of processing already carried out.
Artwork & custom orders.
Submitting artwork does not transfer ownership of your design to Timber Brands. We use submitted material as needed to quote, prepare, produce, deliver, and support your requested products.
Custom files may contain personal information, including names, photographs, business contact details, or information about a gift recipient. Please include only the details needed for your project and make sure you have permission or another lawful basis to provide information about other people.
We may provide necessary design and order information to service providers involved in fulfilling your request. Separate use of your submitted artwork or identifiable custom order in our marketing requires separate permission.
Keep your own copy of original artwork. See retention and security for information about how long uploaded files are kept, and our Terms & Conditions for artwork submission terms.
When we share information.
We disclose information for the purposes described in this policy to the following categories of recipients, as relevant to your interaction:
- Payment and fraud prevention providers: to process transactions, confirm payment, and help detect unauthorized activity.
- Production, fulfillment, and delivery providers: to prepare your products, complete customization, and deliver orders.
- Website and business service providers: hosting, storage, website maintenance, forms, email delivery, customer support, and related operations.
- Analytics and advertising providers: device identifiers, browsing or shopping activity, and campaign interactions for measurement and advertising, subject to applicable consent and opt-out requirements.
- Professional advisers, authorities, or other parties: when reasonably necessary for legal obligations, legitimate investigations, protecting rights, or handling a business transaction such as a merger or sale, subject to applicable law.
Some disclosures to advertising providers can be considered a “sale,” “sharing,” or processing for targeted advertising under privacy laws, even without a monetary payment. See cookies and marketing and your privacy rights for your choices.
External websites, payment services, and social platforms may process information under their own privacy policies. Review those policies when using their services. Linking to another website does not make Timber Brands responsible for that website’s privacy practices.
Cookies & marketing choices.
Cookies, local storage, pixels, and similar technologies can remember information about a visit or transmit information to a provider. Our website uses these technologies for shopping functions, preferences, security, measurement, and advertising.
- Necessary functions
- Support requested features such as the shopping cart, account access, checkout, security, and remembering privacy choices.
- Preferences & measurement
- Remember settings and help us understand site usage, errors, and the performance of content or campaigns.
- Advertising
- Help measure advertisements and, where enabled and permitted, show relevant advertising based on activity across websites or services.
Cookie preferences
Where consent is required, optional technologies are used only after you consent. You can review or change your choices through the website’s cookie consent controls, including withdrawing consent. Necessary technologies remain available for the functions you request.
You can also use your browser settings to limit or delete cookies. Blocking necessary cookies may affect shopping or account features. Choices may need to be repeated on another browser or device, or after deleting saved preferences.
Advertising opt-outs
You can contact us to opt out of uses covered by applicable sale, sharing, or targeted advertising rights. We honor recognized browser-based opt-out preference signals, including Global Privacy Control, where required by applicable law. These signals are distinct from older “Do Not Track” settings.
Email preferences
Use the unsubscribe link in a promotional email or contact us to stop marketing emails. You may still receive messages needed for an order, account, support request, or legal obligation.
Spam prevention
Forms using Google reCAPTCHA involve processing by Google to help distinguish legitimate activity from automated abuse. See Google’s Privacy Policy and Terms of Service for details.
Retention & security.
We keep information for the purposes described in this policy, taking into account the nature of the information, the service requested, recordkeeping requirements, and the need to address legal claims or disputes.
- Order and payment records: retained as needed for fulfillment, accounting, tax, fraud prevention, and legal obligations.
- Account and support records: retained as needed to provide the account or requested support and meet related legal requirements.
- Uploaded design files: retained for no longer than 12 months after order completion unless otherwise required by law. Files submitted for a quote that does not become an order are kept only as needed to handle the inquiry and related legal obligations.
- Marketing and privacy preferences: retained as needed to respect your choices, including a limited record of an unsubscribe or opt-out request.
- Website and security records: retained according to their operational purpose, the relevant technology, and applicable requirements.
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No website, transmission method, or storage system can be guaranteed completely secure.
If you suspect unauthorized use of your account or information, contact us promptly. A deletion request may be subject to lawful exceptions for records we must retain.
Your privacy rights.
Depending on where you live, the information involved, and which laws apply to Timber Brands, your rights may include:
- Knowing whether we process your information and obtaining access to it.
- Correcting inaccurate information or requesting deletion.
- Receiving a portable copy of certain information.
- Withdrawing consent, restricting processing, or objecting to certain uses.
- Opting out of sale, sharing, targeted advertising, or certain profiling, where applicable.
- Limiting certain uses of sensitive personal information, where applicable.
- Appealing a request decision or complaining to a privacy regulator.
We will not unlawfully discriminate against you for exercising a privacy right. Some requests are subject to exceptions, such as keeping records required by law or completing a transaction you requested.
How to make a request
Email sales@timberbrandsusa.com with the subject “Privacy request,” call 214-326-0130, or use our customer help form. Tell us what you would like us to do and provide enough information to locate the relevant records.
For requests requiring verification, we may ask for information reasonably necessary to confirm your identity or an authorized agent’s authority. We do not require an account solely to submit a request. Opt-out requests are handled under the verification rules applicable to that type of request.
We respond within the period required by applicable law and explain any permitted extension. If we deny a request, we explain the reason where required. To request review or make an appeal, reply to our response or email us with the subject “Privacy appeal.”
International visitors.
Timber Brands operates in the United States. Information may be processed in the United States and other countries where our service providers operate. Privacy laws in those countries may differ from those in your country.
Where applicable law restricts international transfers, we use an appropriate transfer mechanism, such as a recognized adequacy decision or contractual safeguards required for the transfer. You can contact us for information about safeguards relevant to your data.
Where the EU or UK GDPR applies, Timber Brands LLC acts as the controller for the processing described in this policy. The legal bases are described under how we use information. You may have the rights described above and the right to complain to the authority where you live, work, or believe an infringement occurred.
Your right to object
Where applicable, you may object to processing based on legitimate interests for reasons relating to your situation. You may object to processing for direct marketing at any time.
UK residents can contact the Information Commissioner’s Office. You do not need to contact us first to exercise a right to complain to a regulator.
Children & policy updates.
Children’s information
Our purchasing, account, and contact features are intended for adults, including parents, educators, and other adult purchasers. We do not knowingly collect personal information online directly from children under 13 without any parental consent required by law.
If you believe a child has provided personal information through our website, contact us so we can investigate and take appropriate action, including deletion where required. Adults ordering personalized products for children should provide only the information needed for the design and have appropriate authority to share it.
Changes to this policy
We may update this policy as our services or legal requirements change. The date at the top identifies the latest version. We provide additional notice or obtain consent when required for a material change.
